Are the breaks (lunch/coffee) 昀椀xed or 昀氀exible?
If fixed, you will need to plan your sessions to accommodate the site. It is easier if the site is flexible, because then you can
break at a natural stopping point. Beware, however, if your public agenda said lunch would be at noon, participants expect
to go to lunch around that time. Hungry participants become impatient and are less capable of absorbing new learnings!
How can you build variety into the agenda
to keep attention and engagement at a
high level?
It is important to put yourself in the shoes of the learner and
provide different learning modalities during the day, alternating
among a large group, small groups, individual reflections, etc. Early
afternoon and right after lunch can be a challenging time. You
might want to consider an energizer: stretches, a partner walk,
speed networking, or similar activities to keep participants focused.
Are you giving adequate time for each
activity, and can you build 昀氀exibility into
your timing?
It is always challenging to predict the exact timing of each session
or activity. As you design your agenda, aim to estimate and plan
what you might do if an activity runs long or is shorter than you
expected. You might play with smaller group sizes to lengthen or
shorten certain activities. Also, don’t forget to include adequate
time for reflection and debriefs.
